1) INTRODUCTION

This Privacy Policy describes how WriteOn (“we”, “us”) collects, uses, stores and protects personal data when you use the WriteOn website and related services (the “Service”).

WriteOn is an online service where users can choose personal spaces, write content, keep drafts private or publish content for other users to read and interact with.

2) DATA COLLECTED

Account information: email address, alias, unique Write ID, country and account status.

Authentication information: temporary verification codes and technical information required to manage authenticated sessions. WriteOn does not require a traditional account password.

User content: private drafts, published content, comments and reactions.

Usage information: pages visited and interaction events used to operate, secure and improve the Service.

Technical information: session identifiers, timestamps, browser or device information, diagnostic information and security logs where available or necessary.

Preferences: interface language and other settings necessary to provide the requested experience.

Support communications: messages sent through the Help function and information necessary to respond.

Performance of a contract or pre-contractual measures (Article 6(1)(b) GDPR): where processing is necessary to provide the Service or a feature requested by the user.

Legitimate interests (Article 6(1)(f) GDPR): for Service security, abuse prevention, diagnostics and reasonable product improvement, provided that these interests do not override users' rights and freedoms.

Consent (Article 6(1)(a) GDPR): where consent is specifically requested for an optional activity. Consent may be withdrawn at any time.

Legal obligations (Article 6(1)(c) GDPR): where processing is required by applicable law.

5) PUBLIC AND PRIVATE CONTENT

Content saved as a private draft is not visible to other WriteOn users. A private draft becomes publicly visible only when the user chooses to publish it.

“Private” refers to visibility to other users. Private drafts are stored by the Service and may be processed where technically necessary to operate, secure, maintain or provide WriteOn.

Published content and related public interactions may be visible to other users. Public identifying information may include the user's alias and unique Write ID.

6) CONTENT MODERATION

WriteOn may apply automated and technical checks to content that users attempt to publish or submit publicly. These checks are intended to reduce spam, abuse and content that cannot be accepted under the Service rules.

Content or related technical information may be processed by service providers where necessary to perform these checks. Moderation decisions and related technical information may be logged for security, diagnostics and abuse prevention.

7) DATA RETENTION

Personal data are retained only for as long as reasonably necessary for the purposes described in this Privacy Policy or as required by applicable law.

Account information and user content may be retained while the account remains active or until deletion is requested, subject to legal, security or technical retention requirements.

One-time authentication codes are temporary and expire after a limited period. Technical, moderation and security logs may be retained for a reasonable additional period for security, diagnostics and abuse prevention.

Support communications may be retained for the time necessary to respond to the request and manage any related follow-up.

8) DATA RECIPIENTS (PROCESSORS / THIRD PARTIES)

WriteOn does not sell personal data.

Information may be processed by trusted providers where necessary to operate the Service, including hosting and infrastructure providers, email delivery providers, content moderation or AI service providers, and technical or security providers.

Such providers are used only where necessary for the relevant service and are subject to applicable data protection requirements.

9) INTERNATIONAL TRANSFERS

Some service providers may process information outside the European Economic Area. Where required by applicable law, appropriate safeguards are used, including adequacy decisions, the European Commission's Standard Contractual Clauses or other lawful transfer mechanisms.

10) SECURITY

We implement reasonable technical and organisational measures designed to protect information against unauthorised access, disclosure, alteration, misuse, loss or destruction.

No online service can guarantee absolute security.

11) YOUR RIGHTS

Under Regulation (EU) 2016/679 (GDPR), where applicable, you may have the right to access your personal data, request correction or deletion, request restriction of processing, object to certain processing, request data portability, withdraw consent where processing is based on consent, and lodge a complaint with the competent Supervisory Authority.

How to exercise your rights: email support@writeon.space from the address linked to your account. We may request information reasonably necessary to verify your identity before processing the request.

12) CHILDREN

The Service is not intended for children under 16 years of age. If we become aware that personal information has been submitted by a child without valid authorisation, we will take reasonable steps to delete it.

13) CHANGES TO THIS POLICY

We may update this Privacy Policy to reflect changes to WriteOn, legal requirements or data processing practices. The latest version will be made available through the WriteOn website and the “Last updated” date will indicate when the Policy was most recently revised.
